'Tis the season for holiday cheer and end of year tax essentials.

Go paperless for free parking
If you haven’t opted to receive your W-2 year-end tax documents electronically, you’re missing a chance to win a year of free parking or Metropass cards. Opting out of printed documents helps safeguard your sensitive information and supports the University’s commitment to sustainability. Log in to Workday and make your election in the “Pay” worklet by Monday, Dec. 31, 2018, to enter to win!

Faculty and staff who already receive only electronic W-2 forms will be entered automatically in the drawing. There must be 7,000 new W-2 electronic opt-ins by Dec. 31, 2018, for the prize to be awarded. One lucky winner will be selected at random in Jan. 2019.

Review your tax withholding status for 2019
Have you remembered to review your W-4 (Employee’s Withholding Allowance Certificate) for the 2019 tax year and make any necessary changes? Reviewing the form will help you determine if your filing status and/or number of withholding allowances will need to change for the new tax year.

The IRS strongly recommends that taxpayers use the Withholding Calculator at IRS.gov to do a “ paycheck checkup.”

Renew your W-4 exempt status
If you are currently claiming “exempt” from withholding tax status and wish to continue this exemption for 2019, you must complete a new Form W-4 by Feb. 15, 2019. Remember, an exemption is only good for one year. If a new W-4 is not received, the University must begin withholding Federal Income Tax as single, with zero withholding allowances.

2019 social security changes
The Social Security Administration has announced that the 2019 social security wage base increases to $132,900 (from $128,400 in 2018). The maximum social security tax that employees and employers will each pay in 2018 increases to $ 8,239.80 (from $7,960.80 in 2018). There is no limit on the wages subject to Medicare tax; covered wages are subject to the 1.45%. Taxable wages in excess of $200,000 are subject to an additional Medicare tax rate of 0.9%.

International employees
If you are a Non-Resident Alien employee who currently holds a Visa such as F-1 or J-1, you should complete and submit a 2019 Foreign National Information Form. For calendar year 2019, this information is submitted via the Foreign National Information System (FNIS). An email notification with user name and password to FNIS was sent out the week of Nov. 12. If you did not receive an email and would like to request access to FNIS to submit your paperwork, please submit a request via this form.
